How to make a babysitting receipt in 3 steps

What a child care receipt should include

A child care receipt is written proof of a payment for care. It helps the parent keep records and helps the care provider show what they were paid.

  • The care provider's name, address and phone or email
  • The name of the parent or guardian who paid
  • The name of each child cared for
  • The dates the care covers, for example October 1 to October 15
  • Hours and hourly rate, or a description of the care
  • The amount paid, in figures and in words, and how it was paid
  • A receipt number, so each receipt can be told apart
  • The care provider's signature
  • The provider's tax ID (SSN or EIN), only if the parent needs it and the provider agrees

How to write the dates and work out the amount

Dates and hours

  • Keep a simple log of the days and hours worked. It makes the total easy to check later.
  • Write the dates the receipt covers, such as “October 1 to October 15, 2026”. For a single evening, use the same date twice.
  • Month names such as “October 1, 2026” cannot be misread, unlike 10/01/2026, which means January 10 in the UK.

Amounts

  • For hourly care, multiply the hours by the hourly rate. Example: 20 hours at $20.00 an hour is $400.00. Enter both and the amount fills in for you.
  • For a flat price, such as a weekly fee, leave hours and rate empty and type the amount.
  • For extras such as a school pick-up or an overnight stay, use “Add another line” so each charge shows on its own line.
  • Only the care provider should sign. The signature confirms that the payment was received.

Child care receipts and US taxes

In the United States, parents can use child care costs to claim the Child and Dependent Care Credit (IRS Form 2441), and many employers offer a Dependent Care FSA. A receipt from the care provider is useful proof of what was paid, to whom and for which dates, but it is only part of what these programs ask for.

  • Form 2441 asks for the care provider's name, address and taxpayer identification number (an SSN, ITIN or EIN). If a parent cannot get the number, the IRS expects them to show they made a real effort. The IRS offers Form W-10 for the provider to fill in.
  • A receipt does not replace that information. The tax ID field on this page is optional, and it is never saved in your browser: it disappears when you close or refresh the page.
  • A Dependent Care FSA is run by the employer's plan administrator, who sets the paperwork. Most ask for the provider's name, the dates of care, the amount and the provider's signature. Check with your administrator first.
  • The yearly FSA limit changed for 2026 (up from $5,000 to $7,500 for most families), but each employer decides whether to adopt it. Check your own plan.
  • If you pay a babysitter or nanny who works in your home $3,000 or more in a year (2026 limit), household employment taxes may apply to you as the employer. See the IRS household employer guide below.

Is this babysitting receipt generator free?

Yes. It is free to use, needs no account or sign-up, and never adds a watermark or logo of ours to your receipt.

Can I use this receipt for my taxes?

It can be part of your records. For the Child and Dependent Care Credit (Form 2441), the IRS asks for the care provider's name, address and taxpayer identification number, and expects you to show you tried to get it, for example with Form W-10. A receipt on its own does not replace that. Ask a tax professional about your situation.

Will a Dependent Care FSA accept this receipt?

Each plan administrator sets its own rules. Most ask for the provider's name, the dates of care, the amount paid and the provider's signature, and this receipt has a place for each of those. Check with your administrator before you submit it.

Do I have to put the care provider's Social Security number on the receipt?

No. The tax ID field is optional. Add it only if the parent needs it and the care provider agrees. Nothing you type is sent to us, and the tax ID is never saved in your browser.

Are my details uploaded or stored on your servers?

No. Everything you type stays in your browser and is never sent to us. The form (except the tax ID) is saved automatically on your own device, so it is still there next time. It is kept only in the browser you used: a different browser, a different device or a private window will not have it, and clearing your browser data removes it. Safari on iPhone and iPad can also delete saved site data after about a week without a visit. On a shared computer, press “Clear Form” when you are done.

How does the hours and rate calculation work?

Enter the hours and the rate per hour and the amount of the first payment line is set to hours times rate, for example 20 hours at $20.00 is $400.00. You can still type a different amount over it. For a flat fee, leave hours and rate empty.

Is a babysitter's pay taxable?

Care provider income is generally taxable, and how it is reported depends on whether the caregiver is an employee or works independently. Parents who pay a household employee $3,000 or more in 2026 may have employer tax duties. The IRS explains this in Publication 926. This page is general information, not tax advice.

How is the amount written in words?

It follows your country. In the United States and Canada: “Four hundred dollars”. In the United Kingdom and Australia an “and” is added inside larger numbers, for example “One thousand two hundred and fifty pounds”. The currency decides the words dollars, pounds or euros.

Can I change the title or the wording on the receipt?

Yes. Click any text on the page to edit it, including the title (for example change “CHILD CARE RECEIPT” to “BABYSITTING RECEIPT”) and the statement above the signature. The form shows the matching box, and the “Wording” section lists every label. “Reset all wording” puts the standard text back. On a phone or tablet, tap the text to open its box in the form.

How do I save the receipt as a PDF?

Click “Print / Save PDF” and choose “Save as PDF” as the printer, or click “Download PDF” to save a file straight to your phone or computer. The downloaded file is a picture of the receipt, so its text cannot be selected.

Can I try it without typing everything?
