How to make a packing slip in 3 steps
-
Add your shop once
Upload your logo and enter your shop name, return address, thank-you note and a coupon code if you use one. They are saved in your browser, so next time they are already there.
-
Fill in the order
Enter the order number, the customer's name and address, and the items with their options and quantities. Add a gift message if the buyer asked for one.
-
Print and pack
Print on Letter or A4 paper, or choose the 4×6 label layout for a thermal label printer, and put the slip in the box. For the next order, press New order: your shop details stay and the order number goes up by one.
Packing slip, shipping label, invoice or receipt?
An online order can come with all four. Each one has a different reader.
- Packing slip
- Goes inside the box. It lists what was packed so the customer can check that everything arrived. It usually has no prices.
- Shipping label
- Goes on the outside of the box. It carries the address, postage and barcode for the carrier. You buy it from the carrier or through your selling platform.
- Invoice
- Asks for payment. It shows prices, totals and payment terms, and is mostly used between businesses.
- Order receipt
- Confirms a payment. For online orders it is usually the confirmation email the buyer got at checkout.
What to put on a packing slip
- Your shop name and logo, so the box feels like it came from you
- The order number, so you can find the order if the customer gets in touch
- The order date and, if you like, the ship date and shipping method
- The customer's name and shipping address
- Each item with its options (size, color, scent) and the quantity
- A short thank-you note
- How to reach you if something is wrong, and your return address
Prices and gift orders
Most packing slips have no prices. The total is already in the customer's order confirmation, and the person opening the box is often not the person who paid.
That matters most for gifts: the slip lists the items without what they cost, and the gift message prints in its own box at the top of the note.
This generator never prints prices. If you need a document with prices, totals and payment terms, that is an invoice.
Thank-you notes and coupons: check your marketplace's rules
A thank-you note and a coupon for the next order are a cheap way to bring customers back. If you sell on a marketplace, though, its rules decide what you may put in the box.
- eBay does not allow sellers to offer or promote buying outside eBay, including catalogs or other items used to order directly outside eBay. A coupon for your own website in an eBay order can break that rule.
- Amazon's seller rules forbid marketing messages that encourage Amazon customers to leave Amazon, so a coupon or link to your own shop is a risk there too.
- Marketplaces that let you run coupons for your shop on their site (Etsy, for example) are the safer choice: a code for your shop on the same marketplace keeps the sale there.
- On your own store (Shopify, Squarespace, Square and so on) the choice is yours.
Checked in October 2026. Marketplace rules change; read the current policy of the site you sell on. This page is general information, not legal advice.
Printing on a 4×6 thermal label printer
Many sellers print shipping labels on a 4 × 6 in thermal printer. Choose the 4×6 label layout and the slip prints on the same labels, in black only.
- Choose the “4×6 label” layout above the preview.
- Click Print / Save PDF and pick your label printer.
- Set the paper size to 4 × 6 in (or 100 × 150 mm) and the scale to 100% or Actual size. Margins: None.
- Or click Download PDF: the file is already a 4 × 6 in page, ready for the printer's own software.
Frequently asked questions
Is this packing slip generator free?
Yes. It is free, needs no account or sign-up, and never adds a watermark or logo of ours to your packing slip.
Is a packing slip the same as a shipping label?
No. A shipping label goes on the outside of the box, with the postage and barcode for the carrier. A packing slip goes inside the box and lists what was packed, for the customer.
Should a packing slip show prices?
Usually not. The customer already has the prices in the order confirmation, and gift recipients should not see them. This generator never prints prices.
Can I use it for Etsy, eBay, Shopify or Instagram orders?
Yes. It works for orders from anywhere: type in the order number, customer and items. If you sell on a marketplace, check its rules before adding a coupon for your own website.
Can I add my logo?
Yes. Click Upload logo and choose a PNG or JPG file. It is shrunk to print size and kept in your browser only; it is never uploaded to us.
Can I print packing slips on a 4×6 thermal printer?
Yes. Choose the “4×6 label” layout, then print with the paper size set to 4 × 6 in and the scale at 100%, or download the PDF, which is already 4 × 6 in.
How do I make the next packing slip quickly?
Press New order. Your shop details, logo, thank-you note and coupon stay; the customer, items and gift message are cleared, and the order number goes up by one (1001 becomes 1002).
How do I add a gift message?
Type it in the Gift message box, with the buyer's name under From. It prints in its own box. Leave it empty for normal orders and the box does not appear.
How many items can I add?
Up to 15 lines. If the slip gets longer than one page or one label, the page tells you before you print.
Are my details uploaded or stored on your servers?
No. Everything you type, and your logo, stays in your browser and is never sent to us. It is saved automatically on your own device, so your shop details are still there next time. Clearing your browser data removes it.
How do I save the packing slip as a PDF?
Click “Print / Save PDF” and choose “Save as PDF” as the printer, or click “Download PDF” to save a file straight to your phone or computer. The downloaded file is a picture of the page, so its text cannot be selected.
Can I change the title or the wording?
Yes. Click any text on the page to edit it, for example change “PACKING SLIP” to “ORDER DETAILS”. The “Wording” section lists every label, and “Reset all wording” puts the standard text back.
