How to write a letter of recommendation in 3 steps
-
Say who and why
Choose the kind of letter (job, student, tenant or character), the person’s name, what they are applying for and how strongly you recommend them.
-
Add what you know
How you know them and for how long, two or three strengths and, best of all, a real example. The letter is written for you; change any word of it.
-
Sign and send
Add your title and signature, then print it, save a PDF, or copy the letter into an email.
What to put in a letter of recommendation
- Who you are, and why your opinion counts (your title, how you know the person and for how long)
- What you recommend them for: a job, a program, an apartment
- Two or three strengths, in plain words
- A specific example of something they did
- A clear closing recommendation, and how to reach you with questions
- Your signature, name and title
Job, student, tenant or character reference
- Job reference: from a manager, supervisor or coworker. Focus on the work: what they did, how well, and how they worked with others.
- Student recommendation: from a teacher, professor or counselor, for a college, program or scholarship. Focus on learning, effort and character.
- Tenant reference: from a landlord or property manager. Say how long they rented, whether rent was paid on time, how they kept the home, and whether you would rent to them again.
- Character reference: from a neighbor, coach or friend, when someone asks for a personal reference. Focus on honesty, reliability and how they treat people.
Tips for a reference that helps
- Say yes only if you can be positive and honest. If you cannot, it is kinder to say so and suggest someone else.
- Ask the person for their résumé or the job or program description, so the letter fits what they are applying for.
- One real example is worth more than a list of adjectives.
- Keep it to one page. Most readers skim.
- Some employers have a policy on giving references (for example, confirming only dates and job title). Check yours before writing on company letterhead.
- Use “To whom it may concern” only when you do not know who will read it.

Frequently asked questions
Is this letter of recommendation generator free?
Yes. It is free to use, needs no account or sign-up, and never adds a watermark or a SnapPaperwork logo to your letter.
Can I write a reference for a tenant?
Yes. Choose “Tenant reference”. You can confirm that rent was paid on time, the home was kept in good condition and you would rent to them again, ticking only what is true.
Can I change the wording?
Yes. Edit the letter in the form or click any text on the page. Once you rewrite the letter, the boxes above no longer change it; empty the letter box to have it written for you again.
Can I send it by email?
Yes. Use “Copy the letter for an email” and paste it into a new message, or attach the PDF.
How long should a recommendation letter be?
Usually three to five short paragraphs, on one page. A long letter will run onto a second page with your name at the top.
Is my information uploaded or stored on your servers?
No. Everything you type stays in your browser and is never sent to me. It is saved on your own device so it is there next time.
