How to make a sign-out sheet in 3 steps
-
Choose the kind of sheet
Equipment, keys, vehicles, books, staff in and out, or students picked up early. Each starts with the usual columns, which you can rename, widen, move, remove or add to.
-
Print the items in
List the laptops, keys or vehicles, one per line, and they go in the first column so people sign beside the one they take.
-
Keep it where things are
Print as many pages as you need and keep them on a clipboard by the cupboard, key box or front desk.
Which sign-out sheet do you need?
- Equipment sign-out: item, who took it, when it went out and came back, and initials.
- Key sign-out: key or unit, name, when it went out and came back, and initials. Useful for landlords, offices and schools.
- Vehicle sign-out: vehicle, driver, date, times out and in, and the miles at the start and end. For mileage you can claim, also see the mileage log.
- Staff in and out: who is out, where to, and when they will be back.
- Student early pick-up: student, grade, who picked them up, their relation and the time, with a signature.
- Books or library: title, borrower, date out, due date and returned.
Ask only for what you need
Everyone who signs can see the lines above theirs. Ask only for what you need to get things back.
For student pick-ups, check the adult against the school’s own pick-up list; the sheet records it, it does not replace the check.
Tips for a sign-out log that works
- Print the items in, so a missing signature beside an item is easy to spot.
- Put the sheet right where things are kept: on the key box, the equipment cupboard or the front desk.
- Check the log at the end of each day and follow up on anything not returned.
- Number keys and equipment with labels that match the names on the sheet.
- Keep old sheets in a folder by date, in case something goes missing later.

Frequently asked questions
How do I make a key sign out sheet?
Choose “Keys”. Type your keys one per line under “Items to print”, for example Unit 1A or Roof access. People then write their name, the time out, the time back and their initials beside the key they take.
Is there a sign out sheet for staff or early pick-up?
Yes. “Staff in and out” records where people are going and when they will be back. “Student early pick-up” records the student, who collected them, the time and a signature.
Is this sign-out sheet maker free?
Yes. It is free to use, needs no account or sign-up, and never adds a watermark or a SnapPaperwork logo to your sheet.
Can I print my list of equipment or keys on the sheet?
Yes. Type them one per line under “Items to print” and they appear in the first column, so people sign beside the item they take.
Can I change the columns?
Yes. Rename, widen, move or remove any column, or add your own, up to eight.
Can I use it for a vehicle log?
Yes. Choose “Vehicle sign-out” for driver, times and mileage out and in. If you need to record business miles for taxes, the mileage log adds the purpose of each trip and the totals.
Is my information uploaded or stored on your servers?
No. Everything you type stays in your browser and is never sent to me. It is saved on your own device so it is there next time.
