How to make a contractor receipt
-
Fill in who paid and for what job
The customer’s name, your business, and a line about the job, such as “Bathroom remodel at 58 Linden Street, deposit”. Mention the estimate or contract number if there is one.
-
Enter what you received
Type the amount received and how it was paid. If it is part of a bigger price, enter the contract amount as the amount due and the balance left is worked out.
-
Sign and hand it over
Print two copies on one page, sign both and give one to the customer. Or save a PDF and send it.
When a contractor gives a receipt
On a building job the customer often pays in steps: a deposit to start, progress payments as the work moves along and a final payment on completion. A receipt for each payment keeps the running total clear for both sides.
A receipt is not an invoice. An invoice asks for money; a receipt confirms that money was received. If you also need to bill the customer, the invoice tool is on this site.
What a contractor receipt should show
- The date, and a receipt number if you give several on one job
- Your business name and contact details, and the customer’s name
- The job: address or a short description, and the estimate or contract number
- The amount received, in figures and words
- What the payment was: deposit, progress payment or final payment
- How it was paid, with a check number or other reference
- The balance still due on the job, if any
- Your signature
Sample wording for a job
The “Payment for” and notes boxes are free text. These are examples; write what actually happened. The names and amounts on the sample receipt are made up.
- “Deposit to start work, per estimate CE-2026-018.”
- “Progress payment 2 of 3: framing and rough-in complete.”
- “Final payment on completion of the work. Balance: $0.”
- “Payment for materials ordered for the job; remaining balance due on completion.”
Tips for keeping job payments clear
- Give a receipt the same day you are paid, for cash and for checks.
- Number the receipts for one job in order, so a missing one is easy to spot.
- Refer to the same estimate or contract number on every receipt.
- Keep a copy, together with the estimate and any change orders, in one folder for the job.
- Rules about deposits, payment schedules and lien waivers on construction work differ by state. Check yours.

Frequently asked questions
What should a contractor receipt include?
The date, your business and the customer, the job, the amount received in figures and words, what the payment was for, how it was paid, any balance still due and your signature.
Is a construction receipt the same as an invoice?
No. An invoice asks the customer to pay. A receipt confirms a payment that has been made. Contractors often use an invoice first and a receipt when the money arrives.
Can I use it for a deposit or progress payment?
Yes. Enter the amount received now and the full contract price as the amount due. The balance left is printed on the receipt.
Should I give a receipt for a check or a bank transfer?
It is good practice. A receipt shows the date you received the money and what it covered, which helps when the final balance is added up.
Does a receipt replace a lien waiver or a contract?
No. It only records a payment. Whether you need a written contract, lien paperwork or other documents depends on where you work, so check your state’s rules.
Is this contractor receipt template free?
Yes. It is free, needs no account and adds no watermark. What you type stays in your browser and is never uploaded.
