How to make a visitor sign in sheet
-
Add your name and logo
Your business, school or office name, your logo and a short note such as “Please sign in at reception”. They print at the top of every page.
-
Check the columns
It starts with Name, Company, Visiting, Time in, Time out and Signature. Rename, widen, move or remove any column, or add one such as “Badge no.”.
-
Print a stack
Choose the row height and how many pages you need, print, and keep the sheets on a clipboard at the front desk.
Why keep a visitor log
- You know who is in the building, which matters most in an emergency or evacuation.
- Time in and time out show when a visitor came and left.
- Staff know who a visitor is there to see.
- Badge numbers in a column show which badges have not come back.
Privacy at the front desk
Ask only for what you need, and remember that everyone who signs in can read the names above. Health care providers may use sign-in sheets, but should limit what is on them: the US Department of Health and Human Services gives the example of not asking for the reason for the visit (HIPAA FAQ 199).
Keep finished sheets somewhere private, and keep or shred them according to your own policy.
Tips
- Print a few pages at a time and put a pen on a string by the clipboard.
- Pair the sheet with numbered visitor badges and a “Badge no.” column.
- At the end of the day, check that everyone who signed in has signed out.

How long should I keep visitor logs?
There is no single rule. Follow your own policy, any rules for your type of business, and keep the sheets private.

Yes. Your logo, name and a short note print at the top of every page.
Can I print it blank?
