How to make a nanny receipt
-
Name the family, the children and the nanny
Add the parent or parents who paid, the children’s names or first names, and the nanny. A phone number or email for the nanny is useful for the family’s records.
-
Enter the dates, the hours and your rate
Choose the dates worked. Type the hours and the hourly rate and the amount is worked out for you, or type a flat weekly amount instead. Add extra lines for things like mileage or a holiday bonus.
-
Add how it was paid and sign
Pick the payment method, add a reference if you like, and sign on screen. Print the receipt or save a PDF for the family.
What a nanny receipt should show
- The nanny’s name and a way to reach them
- The parents’ names and the children’s names
- The dates worked, such as “October 6 to October 10”
- The hours and the hourly rate, or the weekly or monthly amount
- Any extra lines: overtime, mileage, a bonus or expenses paid back, each on its own line
- The total received, the date and the payment method
- A signature from the nanny to confirm the payment
A nanny receipt is not a pay stub
This page makes a receipt: a record that a payment was made for care. It does not work out deductions or taxes, and it is not a pay stub or a payroll record.
Families who employ a nanny, and nannies who work for themselves, often have extra paperwork. What applies depends on your country, your state and how the job is set up, so check your own rules and the tax authority’s pages, or ask a tax professional.
Hours, weekly pay and extras
If you are paid by the hour, fill in the hours and the rate and let the page do the arithmetic. If you are paid a set amount each week or month, leave the hours empty and type the amount on the first line.
Put anything outside the usual pay on its own line, with a short description. That keeps the base pay clear and makes each extra easy to find later.
Tips for nannies and families
- Give or ask for a receipt every time money changes hands, including cash and transfers.
- Put the dates covered on the receipt, not only the date paid.
- Number your receipts, or keep them in date order, so a single week is quick to find.
- Keep a copy. Nannies can keep theirs with their own records, and families can keep theirs with their household papers.
- Agree the hours, the rate and what is paid for before you start, and write it down. The receipt then simply matches what you agreed.

Frequently asked questions
What should a nanny receipt include?
The nanny’s name, the parents’ and children’s names, the dates worked, the hours and rate or the flat amount, any extra lines, the total, the date, the payment method and a signature.
Is there a free nanny receipt template I can print?
Yes. Fill it in on this page, then print it or save a PDF. It is free, needs no account and adds no watermark.
Can I show the hours times the rate?
Yes. Type the hours and the hourly rate and the amount on the first line is worked out for you. You can still type over it if the real total is different.
Is this a pay stub?
No. It is a receipt for a payment. It does not calculate taxes or deductions. If you need payroll paperwork, check what applies to you or ask a tax professional.
Is my tax ID saved?
No. If you type a tax ID, it stays on the page only. It is not saved in your browser and it is not sent anywhere. Close the page and it is gone.
Can a family keep this receipt for their own records?
Yes. The receipt shows who was paid, for which dates and how much, which is what families usually want to keep. Whether it helps with anything else depends on your own rules, so ask a tax professional if you are unsure.
