How to make a cash receipt
-
Fill in who paid and what for
The payer’s name, what the cash was for and the date. The receipt number counts up for you if you number your receipts.
-
Enter the amount
The amount received is written out in words for you. Add the amount due if this is part of a larger payment, and the balance left is worked out.
-
Sign and hand it over
Print two copies on one page, sign both, give one to the payer and keep the other.
Why a cash receipt matters
Cash leaves no bank record, so the receipt is often the only proof that money changed hands. It protects both sides: the payer can show they paid, and you can show what you received and when.
Some laws require one. In New York, for example, a landlord must give a written receipt for rent paid in cash (Real Property Law § 235-e). Check the rules for your business and your state.
What a cash receipt should include
- A receipt number and the date
- The name of the person who paid
- What the payment was for
- The amount in figures and in words
- Any amount still owed
- The name and signature of the person who received the cash
Good habits with cash
- Count the cash in front of the payer before you sign.
- Keep your copies in order, with no gaps in the numbers.
- Never sign a receipt for more than you were given.
- Bank cash regularly and keep the receipts with your records.

Frequently asked questions
What is a cash receipt?
A written note, signed by the person who received the money, showing who paid, how much, when and what for. It is the proof of a payment that leaves no bank record.
Can I write the amount in words?
It is done for you: type the amount and the receipt writes it out, for example “one hundred fifty dollars”.
What if the customer paid only part of the bill?
Enter the full amount due as well. The receipt shows what was received and the balance still owed.
Can I print two copies?
Yes. Two copies fit on one page: one for the payer and one for you.
Can I use it for a different kind of payment?
Yes. Change the payment method or the title, or use the payment receipt for cards and checks.
Is this cash receipt template free?
Yes. It is free, needs no account and adds no watermark. What you type stays in your browser.
