How to make a plumbing invoice or plumbing receipt

  1. Add your business and the customer

Your company name, phone and email, then the customer’s name and the address where you worked.

  2. List the call, the labor and the parts

Put the service call or trip charge on one line, labor on another, and each part or fixture on its own line with a quantity and price.

  3. Record payment and send it

Enter anything already paid. Print the invoice, save a PDF, or email it. The total and balance are worked out for you.

A plumbing invoice lists the service call, your labor and the parts you used, then shows the total and what is still owed. If the customer pays at the door, the same page works as a plumbing receipt: enter the amount paid and the balance drops to zero.

What to put on a plumbing invoice

  • Your business name and contact details, and the customer’s name and service address
  • An invoice number, the date, and the date the work was done
  • A service call or trip charge, shown on its own line
  • Labor, with the hours and your hourly rate or a flat price for the job
  • Parts and fixtures, such as faucets, valves, supply lines or a water heater, one per line
  • Any fees you passed on to the customer, on their own lines
  • The total, any deposit or payment received, and the balance due
  • How to pay and when payment is due

Sample line items for plumbing work

The sample invoice mixes a service call, hourly labor, a part and a flat-rate drain job. Its prices are made up. They are not a price guide, so use your own rates.

  • Service call or diagnostic fee (per call)
  • Hourly labor (per hour)
  • Faucet, toilet or garbage disposal replacement (per fixture)
  • Drain clearing (per job)
  • Supply lines, valves, fittings and pipe (per part or per set)
  • Water heater install (per unit, with labor shown separately)
  • After-hours or emergency call-out (per call)

How to price: hourly, flat rate or per fixture

Plumbers bill in three common ways. Hourly labor suits repairs where the time is hard to predict. A flat rate suits jobs you do often, like clearing a drain. A per-fixture price suits installs, where you charge one amount for each faucet, toilet or sink.

Whichever you use, write the unit on the line (hour, job, fixture) so the customer can see how the total was built. Keep parts on their own lines so the labor is not hidden inside them.

Tips for a clear plumbing invoice

  • Describe the fix in plain words: “Replace kitchen faucet” says more than “Labor”.
  • If a quote came first, say so, and explain any extra work that was added.
  • Keep a copy of every invoice. Customers, landlords and insurers sometimes ask for one.
  • Add a note about care or follow-up, such as who to call if a leak returns.
  • Rules on licensing, permits and warranties differ by place. Check your state’s rules, and ask your tax adviser about tax.

Frequently asked questions

What should a plumbing invoice include?

Your business details, the customer and service address, the date, a service call line, labor, each part on its own line, the total, anything already paid, the balance due and how to pay.

Can I use this as a plumbing receipt?

Yes. Enter the amount the customer paid and the balance due shows zero. Print it or save a PDF and hand it over as the receipt.

How do I bill a service call?

Add it as a separate line, for example “Service call and diagnosis”, with one call at your price. Some plumbers credit it against the repair if the customer goes ahead. Say so in the notes if you do.

Should I charge by the hour or a flat rate?

Either works. Hourly suits repairs where the time is unclear, flat rate suits familiar jobs. Whatever you choose, show the unit on the line so the total is easy to check.

Is there a free plumbing invoice template?

Yes. This page is one. It is free, needs no account and adds no watermark. What you type stays in your browser.

Do I have to put licence or permit details on it?

That depends on where you work. Check your state’s rules, and add your licence number to the notes if your area asks for it.
