How to make a roofing invoice or roofing receipt

  1. Add your business and the customer

Your company name, phone and email, then the customer’s name and the address of the roof.

  2. List the work and the materials

Add the main job by the square, then underlayment, flashing, repairs and cleanup as separate lines.

  3. Enter payments and send it

Enter any deposit or progress payment. The balance is worked out. Print, save a PDF or email it.

A roofing invoice describes the work on the roof, the materials, the labor and the cleanup, then shows the total and what is still owed. Roofing jobs often have a deposit, so the amount paid and the balance matter. Once the customer has paid in full, the same page works as a roofing receipt.

What to put on a roofing invoice

  • Your business name and contact details, and the customer’s name and job address
  • An invoice number, the date, and the dates the work started and finished
  • A short description of the work: repair, re-roof, tear-off or inspection
  • The size of the roof or the number of squares (1 square covers 100 sq ft)
  • Materials, such as shingles, underlayment, flashing and vents, with quantities
  • Labor, cleanup and haul-away on their own lines
  • Any fees you passed on to the customer, on their own lines
  • The total, any deposit or progress payment, the balance due and how to pay

Sample line items for roofing work

The sample invoice prices the main job per square and lists extras beside it. The prices are made up. They are not a price guide, so use your own rates and your own measurements.

  • Tear-off and replace shingles (per square)
  • Underlayment and drip edge (per job)
  • Flashing or vent boots (per piece)
  • Repair of a small area or a leak (per job or per hour)
  • Ridge cap or valley work (per foot)
  • Decking replacement (per sheet)
  • Debris haul-away and cleanup (per job)
  • Roof inspection or leak check (per visit)

How to price: per square, per job or per hour

Roofers commonly price large jobs per square, where one square is 100 square feet of roof. Small repairs are often a flat price for the job, or time and materials by the hour. Extras like decking, flashing and haul-away are best on their own lines.

Write the unit next to each line (square, piece, foot, job) and say how you measured, so the customer can check the quantity against the quote.

Tips for a clear roofing invoice

  • Match the invoice to the quote or contract, and explain any change in a note or a change order.
  • Show deposits and progress payments so the balance is easy to follow.
  • List materials by type so the customer knows what went on the roof.
  • Keep dated photos with your copy. They help if a question comes up later.
  • Licensing, permits, warranties and lien rules differ by place. Check your state’s rules, and ask your tax adviser about tax.

Frequently asked questions

What should a roofing invoice include?

Your business details, the customer and job address, the dates, a description of the work, the squares or size, materials and labor on separate lines, the total, deposits paid, the balance due and how to pay.

Can I use this as a roofing receipt?

Yes. Enter the full payment and the balance shows zero. Print it or save a PDF and hand it over as the receipt.

What is a roofing square?

A square is 100 square feet of roof. Many roofers quote and bill per square, so a 24-square roof is about 2,400 sq ft of roof surface.

How do I show a deposit?

Enter the amount already paid. The invoice shows it as paid and the balance due updates. You can add a progress payment the same way.

Is there a free roofing invoice template?

Yes. This page is one. It is free, needs no account and adds no watermark. What you type stays in your browser.

What if the job changed after the quote?

Put the added work on its own line and explain it in the notes. For larger changes, a change order signed by the customer keeps both sides clear.
