How to make a lawn care invoice
-
Put your business and the client at the top
Your name or company, the client’s name and the address of the property if it differs. Add your logo if you have one.
-
List the work, one line per job
Mowing visits, trimming, mulch, leaf clean-up. Give each line a quantity and a price. The total, tax and balance are worked out for you.
-
Set the terms and send it
“Due on receipt” suits one-off jobs; “Net 15” or “Net 30” suits monthly accounts. Print it, save a PDF or send the PDF by email.
What a lawn care invoice should show
- Your business name, phone and email, and the client’s name and service address
- An invoice number and the date, plus the dates the work was done
- One line per service with quantity and price, such as “Mow, trim and blow: 4 visits”
- Materials listed separately from labor, such as mulch, soil, seed or fertilizer
- Any discount, tax if you charge it, and the balance due
- How to pay and when payment is due
Sample line items for lawn and landscape work
Use these as a starting point and change the wording to match what you actually did. The prices on the sample invoice are made up. They are not a price guide, and your own prices should reflect your costs, your area and the size of the property.
- Weekly or biweekly mowing, edging and blow-off (per visit)
- Hedge or shrub trimming (per hour or per job)
- Mulch or topsoil spread in beds (per cubic yard, delivered and spread)
- Spring or fall clean-up, leaf removal (per job)
- Aeration, overseeding or fertilizer application (per job or per 1,000 square feet)
- Debris haul-away and disposal (per load)
How to price: per visit, per hour or per square foot
Recurring lawns are usually billed per visit, so the client sees the same line every time. One-off jobs such as trimming or planting are often billed per hour. Large or irregular areas can be priced per square foot or per job once you have measured.
Whichever you choose, keep the unit the same on the quote and the invoice so there are no surprises. If the client agreed on a monthly price, bill the month as one line and list the visit dates in the notes.
Tips for getting paid on time
- Send the invoice the same day the job is done, while the work is fresh.
- Put the due date and how to pay right on the invoice.
- For monthly clients, bill on the same day each month so it becomes a habit.
- Keep a copy of every invoice with the dates of service in case a client has a question.
- Whether you charge sales tax on lawn services depends on where you work. Check the rules for your state or ask your tax adviser.

Frequently asked questions
What should a lawn care invoice include?
Your business details, the client and service address, an invoice number and date, one line for each service with quantity and price, materials listed on their own lines, any tax, the total and balance due, and how to pay.
Can I use this as a landscaping invoice?
Yes. Change the wording on the lines to match the job: design, planting, hardscape, irrigation or clean-up. Add materials and delivery as their own lines.
How do I bill a customer for a whole season?
Either bill each month as one line and list the visit dates in the notes, or bill each visit. Many lawn services send one invoice per month so the client pays on a regular day.
Do I charge tax on lawn care?
It depends on where you work and what you sell. Some places tax services, some only tax materials. Check your state’s rules or ask a tax professional, then enter the rate in the tax box if you charge it.
Is this lawn care invoice free?
