How to make a painting invoice

  1. Add your business and the client

Your company name, phone and email, then the client’s name and the address of the house if it differs.

  2. List the work room by room

One line per room or surface: walls, ceiling, trim, doors, exterior side. Say what was done, such as patching, priming and two coats.

  3. Add materials, terms and send

Put paint and supplies on their own line, set the due date, then print the invoice, save a PDF or send the PDF by email.

A painting invoice tells the homeowner what was painted, with how much prep and how many coats, and what it cost. Fill in the boxes on the left, watch the sheet update, then print it or save a PDF.

What to put on a house painter invoice

  • Your business name and contact details, and the client’s name and job address
  • An invoice number, the date, and the dates the work was done
  • Each room or surface painted, with the prep and number of coats
  • Paint colors and brands, so touch-ups are easy later
  • Materials and supplies on their own lines, apart from labor
  • Any deposit already paid, the total and the balance due
  • How to pay, and how long touch-ups are covered if you offer that

Sample line items for interior and exterior painting

The sample invoice is filled in so you can see the layout. Its prices are made up and are not a price guide. Set your own prices from your costs, the size of the job and your area.

  • Walls and ceiling, patch, prime and two coats (per room)
  • Trim, baseboards and window frames (per room or per linear foot)
  • Interior doors, both sides (per door)
  • Cabinets, deck or fence (per job after measuring)
  • Exterior wash, scrape and paint (per side or per job)
  • Paint, primer, tape and drop cloths (materials line)

How to price: per room, per square foot or per hour

Many painters bill interior work per room or per job, because the client can compare it to the quote. Large exterior or open areas are often measured and billed per square foot. Small repairs and touch-ups are easier to bill by the hour.

Whichever you pick, use the same unit on the quote and the invoice. If prep takes a lot of time, show it as its own line so the client can see where the cost came from.

Tips for painting contractors

  • Send the invoice the day the final coat is checked and the client has walked through.
  • Write the paint color names on the invoice for later touch-ups.
  • If the job runs over several weeks, bill in stages instead of waiting until the end.
  • Keep a copy of each invoice with before and after photos.
  • Whether you charge sales tax on painting work depends on where you work. Ask your tax adviser or check your state’s rules.

Frequently asked questions

What should a painting invoice include?

Your business details, the client and job address, an invoice number and date, each room or surface with prep and coats, materials on their own lines, any deposit paid, the total, the balance due and how to pay.

Can I use this as a house painter invoice?

Yes. It works for interior, exterior, cabinets, decks and fences. Change the wording on the lines to match what you painted.

How do I bill for paint and materials?

Put paint, primer, tape and supplies on a separate line from labor so the client sees both. If you charge a markup, that is your choice and part of your own pricing.

How do I invoice a painting job in stages?

Make one invoice per stage, such as the first rooms or the exterior, and note the stage in the notes. A deposit already received can be entered as an amount paid.

Do I charge tax on painting?

It depends on where you work. Check your state’s rules or ask a tax professional, then enter the rate in the tax box if you charge it.

Is this painting invoice free?

Yes. It is free, needs no account and adds no watermark. What you type stays in your browser and is never uploaded.
