How to make a towing invoice or towing receipt
-
Add your company and the customer
Your company name, phone and email, then the customer’s name and contact details.
-
Describe the vehicle and list the charges
Give the vehicle, where it was picked up and where it was taken. Add the hook-up fee, the miles, and any extras on their own lines.
-
Record payment and send it
If the customer paid, enter the amount paid. Print the invoice, save a PDF, or email it so they can send it to their insurer if they need to.
A towing invoice records the vehicle, where it was picked up and delivered, and what was charged. If the customer pays on the spot, the same page works as a towing receipt: add the amount paid and the balance shows as zero.
What to put on a towing invoice
- Your company name and contact details, and the customer’s name
- An invoice number, the date, and the pickup and drop-off times
- The vehicle: year, make, model and colour
- Pickup location and destination, such as “Tow to Torres Auto Repair, 14 miles”
- Hook-up fee, loaded miles, and any extra charges on separate lines
- The total, any amount paid, and the balance due
- How to pay, and where the vehicle was released
Sample line items for a tow
The sample invoice shows a hook-up fee, a mileage charge and an after-hours call-out. Its prices are made up. They are not a price guide, so use your own rates and any rate limits that apply where you work.
- Hook-up or base fee (per tow)
- Tow mileage (per mile)
- After-hours, weekend or holiday call-out (per call)
- Winching or recovery (per hour or per job)
- Storage (per day)
- Jump start, lockout or tire change (per job)
- Wait time (per 15 minutes)
How to price: per tow, per mile and per hour
Most tows are built from a base fee plus a charge per mile. Recoveries, such as pulling a car out of a ditch, are usually billed per hour or per job. Storage is a daily line, so the customer can see how many days were charged.
Write the unit on every line (tow, mile, hour, day) so the total is easy to check. Rates for towing are regulated in some places, so check the rules for your area before you set them.
Tips for a clear towing invoice
- Write the pickup and drop-off times, and the odometer miles if you track them.
- List every fee on its own line so nothing looks hidden.
- Note who the vehicle was released to and where.
- Keep a copy: insurers and repair shops often ask for the invoice.
- Towing rules differ a lot by state and city. Check your local rules and ask your tax adviser about tax.

Frequently asked questions
What should I put on a towing invoice?
Your company details, the customer, the date and times, the vehicle, the pickup location and destination, the hook-up fee, miles and any extra fees on separate lines, then the total, anything paid, the balance due and how to pay.
Can I use this as a towing receipt?
Yes. Enter the amount the customer paid and the balance due drops to zero. Print it or save a PDF as the receipt.
How do I bill mileage on a tow?
Add a line with the number of miles and your price per mile, for example “Tow mileage, 14 miles” at your rate. The sheet works out the line total.
Is there a free tow truck invoice template?
Yes. This page is one. It is free, needs no account and adds no watermark. What you type stays in your browser.
How do I show storage fees?
Add a separate line such as “Storage” with the number of days and a daily rate, so the customer can see how it was worked out.
Are there rules on towing charges?
Often, yes, and they differ by state and city. Check your local rules before setting rates, and ask a tax adviser about tax.
