How to write a resignation letter in 3 steps

  1. Say what kind of letter and when you leave

Choose two weeks’ notice, effective immediately or retirement. Add your job title, the company and the date; your last day is worked out from the notice, or type your own.

  2. Pick what to say

Thank your employer, offer to help with the handover, say you will return company property, ask where to send your final pay. The letter is written as you choose, and you can rewrite any of it.

  3. Sign it and hand it in

Draw your signature or sign the printed letter. Print it, save the PDF to attach to an email, or copy the text straight into an email.

What to put in a resignation letter

  • The date, and who the letter is to (usually your manager)
  • A clear first sentence that you are resigning, and from which job
  • Your last day of work
  • A short thank-you, and an offer to help with the handover (optional)
  • What happens to company property, and where to send your final pay (optional)
  • Your signature and your name

How much notice to give

In the US, most jobs are “at will”: two weeks’ notice is a custom, not a law, but your contract, union agreement or employee handbook may ask for more. Giving the notice they ask for helps keep a good reference and any payout of unused leave that depends on it.

Final pay: federal law does not require an employer to give you your last paycheck right away, but some states may require immediate payment. Ask HR when to expect it, and check your state labor department if it is late.

In the UK, if you have been in the job for more than a month, you must give at least one week’s notice, and usually what your contract says, which is often longer. Your notice normally starts the day after you hand it in, and putting it in writing gives you a record.

In Canada and Australia, the notice you give is usually set by your contract, award or agreement: check it, or ask HR.

Tips for leaving on good terms

  • Tell your manager in person or on a call first, then give them the letter.
  • Keep it short and positive. A resignation letter is not the place for complaints; it may stay in your file for years.
  • Check your contract or handbook for the notice you must give and anything about leave, bonuses or equipment.
  • Keep a copy of the letter and note when you handed it in or sent it.
  • Before your last day, save any personal files, return equipment and ask for contact details of the people you want to stay in touch with.

Frequently asked questions

Is this resignation letter generator free?

Yes. It is free to use, needs no account or sign-up, and never adds a watermark or a SnapPaperwork logo to your letter.

What is a two weeks’ notice letter?

It is a short letter telling your employer you are resigning, with your last day two weeks after the date of the letter. It gives them time to plan the handover and find someone new.

Do I have to give two weeks’ notice?

In most US jobs there is no law that says so, but it is the usual courtesy and your contract or handbook may require it. In the UK you must give at least a week if you have been in the job for more than a month, and usually what your contract says.

Can I resign effective immediately?

Yes. Choose “Resignation, effective immediately”: the letter says so politely and can offer to answer questions for the handover. Check your contract first, as leaving without notice can affect pay or references.

Do I have to give a reason?

No. Most resignation letters do not. If you want to, add a few positive words of your own and they become a paragraph of the letter.

Can I email my resignation instead?

Yes. Use “Copy the letter for an email” and paste it into a new email (the subject line is included), or attach the PDF. Keep a copy of what you sent.

Is my information uploaded or stored on your servers?

No. Everything you type stays in your browser and is never sent to me. The form and your signature are saved on your own device so they are there next time.
